Rules of departure for studies and internships under the Erasmus+ program

  1. Doctoral students of the AGH Doctoral School, who wish to study abroad within the Erasmus+ Programme, may choose from partner universities listed on www.erasmusplus.agh.edu.pl on condition that the agreement concluded with the chosen partner university provides for the exchange of doctoral students.  Any enquiries relating to this matter should be addressed to the agreement coordinator assigned to the selected partner university.
  2. Deadlines for doctoral students of the AGH Doctoral School wishing to qualify for studies and internships in a given academic year are announced on www.erasmusplus.agh.edu.pl, usually at the end of March or beginning of April of a given year.
  3. When applying for a study exchange at a chosen partner university, doctoral students of the AGH Doctoral School consult their choice with the School and submit their application/ admission forms directly to the coordinator of the bilateral agreement for the selected partner university.
  4. Decisions relating the qualification of doctoral students of the AGH Doctoral School are made directly by the agreement coordinator. The agreement coordinator will communicate their decision by forwarding the approved admission form submitted by the doctoral student directly to the School coordinator. There, the doctoral student will be verified and qualified for the study exchange in a given academic year, following which the final list of doctoral students qualified for studies will be forwarded to the AGH Centre for International Affairs, where doctoral students will make all formal arrangements related to the study exchange.
  5. When deciding to go for internships under the Erasmus+ Programme, doctoral students of the AGH Doctoral School specify in their admission form the university or the company, the duration as well as a preliminary programme of the stay consulted with the research supervisor and the Doctoral School. Doctoral students submit their internship applications or admission forms directly to the AGH Doctoral School. Once the application has been approved, the Doctoral School will forward the list of all doctoral students qualified for internships to the Centre for International Affairs.
  6. The coordinator in charge of the partner university chosen by the applying doctoral student will ensure the nomination of the doctoral student at the chosen university according to the required procedure and will provide the doctoral student with any other necessary information related to their stay, including accommodation options and other relevant facts.
  7. The doctoral student agrees the details of their Learning Agreement (LA) solely under the guidance of the Doctoral School and their supervisor. This also applies to any changes in the LA made during the studies at the partner university. The coordinator of the chosen partner university will not refuse assistance related to eventual corrections or formal agreements and signing of the LA by the representative of the partner university.
  8. The coordinator in charge of the chosen partner university will not refuse cooperation with the Doctoral School in case of any non-substantive problems related to the doctoral student's stay at the partner university.
  9. The AGH Doctoral School is solely authorized to decide on the extension of the doctoral student's stay at the partner university and any related amendments to the LA. This decision must be consulted with the Centre for International Affairs  with regard to the availability of funds for the extended period of stay.
  10. The AGH Doctoral School will review the substantive aspects of doctoral student’s period of study  - i.e. whether the student has met all the assumed objectives listed in the study programme, which the doctoral student will confirm by presenting all relevant documents, these being, in particular, the Transcript of Records.
  11. The AGH Doctoral School will inform the Centre for International Affairs, in writing, whether the doctoral student's stay at the partner university has been approved or not, which will affect the financial settlements relating to the stay. In sensitive matters, the Office for International Affairs may seek the opinion of the AGH Erasmus+ Program Coordinator.
  12. The doctoral student is obliged to visit the Centre for International Affairs for the purpose of settling financial matters related to the period of study or internship completed under the Programme. To do so, they will need to submit the LA, the Transcript of Records, and a certificate from the partner university confirming the period of study or internship completed and the dates of the stay.
  13. In any circumstances, including specifically problematic cases, the AGH Doctoral School may seek the opinion of the AGH Erasmus+ Programme Coordinator."
